Executive Personal Assistant

Role Overview We are seeking a highly organized, proactive, and detail-oriented Personal Assistant to support our Operations Manager. The ideal candidate will serve as a key liaison and ensure the smooth execution of daily tasks, administrative responsibilities, and operational support. This role demands excellent communication skills, discretion, and the ability to work in a fast-paced environment.
  • Manage the Operations Manager’s calendar, schedule meetings, and coordinate appointments.
  • Handle emails, correspondence, and documentation with professionalism and confidentiality.
  • Prepare reports, presentations, and agendas for meetings.
  • Maintain and organize files, records, and operational documents.
Operational Assistance
  • Assist with tracking project timelines, deliverables, and milestones.
  • Coordinate with internal departments and external stakeholders to support operational goals.
  • Monitor and maintain inventory of office and operational supplies.
  • Assist in preparing and following up on contracts, invoices, and budgets.
Communication and Coordination
  • Serve as the first point of contact for internal and external queries.
  • Relay messages and updates accurately and promptly.
  • Facilitate seamless communication between the Operations Manager and other team members.
Task Management
  • Prioritize and manage multiple assignments, ensuring deadlines are met.
  • Actively follow up on tasks and projects to ensure progress.
  • Propose solutions to streamline processes and improve efficiency.
Qualifications and Skills
  • Education: Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Experience: Minimum 1 years of experience as a Personal Assistant, Executive Assistant, or similar role. Experience in operations or project management is an advantage.
  • Skills:
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other productivity tools.
  • Ability to work independently with minimal supervision.
  • Strong problem-solving and decision-making abilities.
